Receiving Spam

There are many reasons why you may be receiving spam in your Inbox. 

It's possible that these messages might have originally been flagged as spam by the server. However, your mail client or device may be identifying items originally marked as spam or junk as "safe" and moving them into your Inbox. 

If the client/device has any specific filtering settings enabled, it can then affect the message once it's downloaded. This also applies if there are any add-ons in the client like Virus Scanning (AVG) or other protection software (ESET, McAfee etc.) 

It is important to note that the Junk Email settings in your mail client are separate from the actual spam settings that are configured on the server by you or your administrator. It's just another layer of filtering on top of what's provided server-side.

It's not uncommon for you to have added some addresses or domains to your mail client's Safe Sender's list, which will take anything that's been filtered to Junk or Spam and move it back to the Inbox. There may also be a specific option in the settings to "Trust e-mail from my contacts", which will take anything that's sent "From" any of your personal Contacts and move them to your Inbox as well. 

You will want to avoid safe listing domains from large email systems, such as gmail.com or yahoo.com, as this could result in spam arriving in your Inbox. You will also want to avoid safe listing your own domain or email address. Spammers will often try to "spoof" any of these addresses in an attempt to try to trick you into thinking those messages are legitimate. 

There is a guide on disabling Outlook junk filtering and if you have verified that you do not have any client-side filtering configured, you may need to check your Spam Settings in Webmail.

  1. Log in to your Webmail interface at https://webmail.thexyz.com.
  2. In the upper right-hand side next to your username, click the drop-down to access the Settings menu.
  3. Click the Spam Settings menu on the left-hand side.
  4. On the Preferences tab, check to ensure that Spam Filtering is set to "On". Also, check to make sure that you have the option selected to "Deliver to the Spam folder".
  5. You can also review your Safelist by clicking the Safelists tab. Check to make sure that you don't have any entries that match any of the spam you've received recently.

  6. You can block these messages to prevent them from ever arriving in your mailbox. Click the Blocklist tab and add the sender's email address or domain to your blocklist.

If the message is still in your Inbox, you can help make our spam filtering better by marking the message as spam in Webmail! Just right-click the message in your Inbox and select "Report Spam" (this will also move the message to your Spam folder).
